Outlook has many interesting features which many people do not know about, despite having used the application for a long time. Outlook is the ultimate program for sending or receiving email messages, storing names, managing your calendar and saving contact numbers as well as tracking tasks. However, the follow facts will help you become more productive.
In Case You Forgot to Attach a File
Normally, Outlook would not be able to remind you about a task not entered or an appointment not written down. However, it will prevent you from sending an email which does not have an attachment. The trick is simple, if you composed a new email and types the words attached or attachment, then when you send the email without actually including the attachment, Outlook would immediately remind you that you had forgot to attach the file. Next time that you send an email, make sure to write attached or attachment and Outlook will ensure that you never send an email that doesn’t actually have an attachment.
Avoid Missing a Flight
Outlook automatically adds any email which one receives regarding flight, hotel and even rental car reservations. Those things would appear in the calendar along with their information such as the tracking numbers, confirmation and even links.
Ignore that Conversation and Stay Focused
We all end up being on an email thread that we want to ignore. It can be frustrating when someone adds you in a distribution list and you end up receiving every email without even having been told of being included in the list. Instead of having to delete each and every message from your thread, you can actually ignore the entire conversation. It is as good as it sounds.
When you press on ignore, all of the messages from that conversation would be directly moved to the deleted items folder and even the future messages in the conversation would automatically make their way to the deleted items folder, bypassing the inbox completely.
Important Messages Would Never be missed
It could either be that you are waiting for a job offer, legal brief from your boss or even a concert pre-sale code in which case, it would be important that you never miss the message. Now, obviously you can’t sit around all day long staring at the Outlook message list. Try out the Outlook’s new item alerts which would tell you whenever there is an incoming message which meets set criteria. The alert would be displayed over any other application which you work on, making sure that you do not miss the message.
Clean Up a Folder
It can be difficult having to deal with multiple threads in the inbox which contain hundreds of messages. It is most likely that most of those messages would be near duplicates of each other. You might not have deleted them but would have read them or even responded to them. Simply use the Clean Up button to have many of these messages deleted so as to have only important messages as unread.
